Xero is a cloud-based accounting platform designed for small businesses, accountants, and bookkeepers. It covers core financial workflows including invoicing, bank reconciliation, bill payments, expense claims, and payroll through integrations like Gusto. The platform connects to over 21,000 global bank institutions and offers a marketplace of more than 1,000 third-party app integrations spanning CRM, inventory, ecommerce, and project management.

What it does

Xero replaces desktop accounting software with a browser-based suite accessible from any device. Users can send quotes and invoices, track bills and purchase orders, reconcile bank transactions automatically, manage fixed assets, and run real-time financial reports. The platform supports multi-currency operations and includes an AI assistant, JAX, for automating routine tasks and surfacing business insights.

Limitations

• Invoice caps on entry plans: the Early plan limits users to 20 invoices per month, which can constrain growing businesses before they upgrade.
• No native US payroll: Xero partners with Gusto for US payroll rather than offering it directly, adding a separate subscription and integration step.
• Limited inventory depth: inventory tracking is basic compared to dedicated warehouse or manufacturing ERP systems, lacking advanced lot tracking or shop-floor integration.
• Add-on costs accumulate: advanced features like multi-currency, project tracking, and expense claims are gated behind higher-tier plans, increasing total cost of ownership.
• Offline dependency: as a cloud-only SaaS, Xero requires an internet connection for all operations with no on-premise fallback.
